Church Donation Statements: A Year-End Preparation Checklist
Prepare church giving statements with verified received gifts, correct recipients, per-currency totals, and a clear review and correction process.
Church donation statements need accurate gift records, a clearly defined reporting period, and an authorized recipient. Preparing those details before year-end gives the finance team time to resolve missing information and review wording before statements are issued.
This checklist covers operational preparation. Statement wording and any tax treatment should be reviewed for your church's jurisdiction by the appropriate adviser. Do not promise a donor a tax outcome simply because a PDF has been generated.
1. Agree the reporting period and responsibility
Write down the start and end dates, the person preparing statements, the reviewer, and the planned delivery date. Decide how donor questions will be received and who can investigate them.
Confirm the church name, address, registration details, and approved statement wording. If the organization has multiple branches or currencies, make their treatment explicit before preparing totals. Keep the working checklist in a place accessible to the finance team, with access limited appropriately.
2. Start with received gifts
Separate received gifts from pending, failed, and cancelled payment attempts. A donor starting a payment is not the same as the church receiving it. Review refunds, reversals, disputes, and corrections before treating any number as final.
Compare the source records with the church's reconciliation process and investigate gaps. Do not add unrelated currencies together into one unlabeled amount. Review each currency separately unless the church has an approved conversion method for the purpose in question.
Our guide to church giving reports based on received gifts explains why this distinction matters for routine reporting.
3. Check donor identity and delivery details
Review duplicate donor records, names, recorded contact addresses, and gifts that need investigation. Do not merge people just because their names look similar. Where records need correction, use the authorized process and preserve the financial history.
Confirm who is entitled to receive each statement. Household membership alone does not mean that one adult should receive another adult's giving details. Choose an individual statement unless the household has explicitly authorized a household statement and the recipient is an authorized adult contact.
Check the destination address before sending. A spreadsheet exported for preparation should be handled with the same care as the giving records it contains.
4. Review a sample before issuing the batch
Prepare a sample that covers the situations the team expects: a single gift, recurring gifts, multiple currencies, a correction, and a period with no included gifts where applicable.
Check the reporting dates, included gifts, totals, church details, donor details, and wording. Ask a second authorized person to review the sample. Use a specific checklist rather than relying on “the PDF looks fine.”
Record unresolved questions and hold the affected statement until the underlying record is settled. A planned delivery date should not force an inaccurate statement into a donor's inbox.
5. Prepare the correction process
Tell donors how to ask a question and which details will help the finance team locate the record. Avoid asking people to post financial details in a public church group.
Preserve the original statement when a correction is needed. Record the reason, obtain the required review, and make clear which version is current. A correction process that retains history helps the team explain what changed.
Giving statements in TheFaithApp
Before issuing a year-end statement, open Giving → Statements and review Statement settings. Confirm the church details and jurisdictional wording with the responsible reviewer before selecting Enable year-end statements, then click Save settings. Follow the giving statement setup steps.
In TheFaithApp Giving, authorized staff can prepare period or year-end statements from received gifts, review per-currency totals, and download or send the statement to the authorized recipient. Pending, failed, cancelled, reversed, and otherwise unsettled attempts are excluded.
Issued statements are not edited in place. An authorized correction goes through review by a different authorized person and supersedes the earlier version while preserving both in the financial history. Members can access their own issued statements in the app.
Review your settings and current plan details before the reporting period closes. A clear preparation routine makes the final statement easier to trust and easier to explain.
