A familiar face arrives to collect a child. Does your team know whether that person is authorized?

That question deserves an agreed process before the room gets busy. Familiarity, household membership, and permission to collect a child are different things.

Here is a practical preparation checklist for your next children's ministry session.

1. Record the responsibilities explicitly

Confirm each guardian relationship and which responsibilities it permits: profile management, check-in, pickup, waiver signing, or emergency contact. Someone can be an emergency contact without having every other responsibility. Follow your church's process for verifying authority and custody restrictions.

2. Keep the pickup list current

Record the people authorized to collect the child, their relationship, any required ID check, and an end date when permission is temporary. Give guardians a clear way to report changes before the session. Do not treat last month's arrangement as permanent.

3. Separate preregistration from arrival

A family planning to attend does not mean the child is in your care. Mark arrival when the child is physically present so the live roster reflects the room.

4. Rehearse a normal pickup and an exception

Decide who verifies the authorized person and any required identification. In TheFaithApp's documented workflow, staff also check the guardian's six-digit code before release. If a pickup restriction is recorded, staff with sensitive family-safety access must review and acknowledge it before release. A mismatch needs resolution; it should never become a hurried workaround. Only staff with sensitive family-safety access can record a manual override. Use it only after a supervisor verifies the exception; a reason is required and the release is recorded in the restricted audit history.

5. Prepare the fallback

Name the supervisor who handles uncertain authority. Keep your church's offline roster and emergency procedure available. Practice accounting for every checked-in child and handing over responsibility clearly.

Use this short rehearsal prompt: 'The code does not match, the guardian cannot be reached, and the person says they collected the child last week. Who decides, what must be checked, and where is the decision recorded?'

TheFaithApp separates child safety details from the ordinary directory and records permissions and handoffs. Those records support trained leaders and an established safeguarding policy. Before enabling a live session, confirm the product's physical-device, printer, iOS, and store-release checks with your team.

Start with one test session and fictional family records. Find the unclear handoff before Sunday.

When your team is ready, request access for review. New church-admin accounts are set up after approval and a private invitation.
